Accessing Your Applications

After posting an internship listing, you'll start receiving applications from verified students. Here's how to access and manage them:

How to Access

  1. Log in to your InternGlobe employer account
  2. Navigate to "Dashboard" from the main menu
  3. Click on "My Job Postings" tab
  4. Select the internship listing you want to manage
  5. Click "View Applications" to see all applicants
Quick Access
You'll receive email notifications whenever a new application is submitted. Click the link in the email to go directly to that application.

Application Dashboard Overview

The Applications Dashboard provides a comprehensive view of all candidates who have applied to a specific job posting.

Dashboard Features

Summary Statistics

At the top of the dashboard, you'll see key metrics:

  • Total Applications: Number of candidates who applied
  • New (Unreviewed): Applications you haven't opened yet
  • Shortlisted: Candidates marked for interviews
  • Interviewed: Candidates who completed video interviews
  • Offers Sent: Number of active job offers
  • Average Match Score: Overall quality of applicant pool

Filter Options

Quickly find specific candidates using filters:

  • By Status: Applied, Shortlisted, Interviewed, Offered, Hired, Rejected
  • By Match Score: Excellent (90%+), Good (75-89%), Fair (60-74%), Low (below 60%)
  • By Application Date: Today, Last 7 days, Last 30 days, Custom range
  • By University: Filter by specific partner universities
  • By Verification Status: Only show verified students

Sort Options

Organize applications to prioritize your review:

  • By Match Score: Highest to lowest (recommended)
  • By Application Date: Newest first or oldest first
  • By Last Name: Alphabetical order
  • By Status: Group by current application stage

Bulk Actions

Save time by performing actions on multiple candidates at once:

  • • Select multiple candidates using checkboxes
  • • Move all selected to Shortlist
  • • Reject multiple candidates simultaneously
  • • Send interview invitations to multiple shortlisted candidates
  • • Export selected CVs as a ZIP file

Understanding AI Match Scores

Each application includes an AI-generated Match Score that analyzes the candidate's CV against your job requirements. This helps you quickly identify the most qualified applicants.

AI is a Tool, Not a Decision Maker
While the Match Score is highly accurate, it should inform your decision, not make it. Always review the full CV and cover letter. Some exceptional candidates may have lower scores due to non-traditional backgrounds or formatting issues.

Reviewing Individual Candidates

When you click on a candidate in the applications list, you'll see their complete profile and application materials.

Candidate Profile View

Section 1: Candidate Summary

  • Profile Photo: Visual identification
  • Full Name & Contact: Email and phone (only visible to you after shortlisting)
  • University & Program: Verified academic affiliation with green checkmark badge
  • Year of Study: Current academic level (e.g., "3rd Year Bachelor's")
  • Location: Current city and willingness to relocate
  • AI Match Score: Large percentage display with color-coded indicator

Section 2: Application Materials

  • Cover Letter: View full text or AI-generated summary (3-5 bullet points of key motivations)
  • Resume/CV: In-browser PDF viewer with zoom and download options
  • Application Date: When the candidate submitted their application

Section 3: AI-Extracted Skills & Experience

InternGlobe's AI automatically extracts structured data from the CV for quick scanning:

  • Technical Skills: Programming languages, tools, frameworks (with proficiency levels)
  • Soft Skills: Teamwork, leadership, communication, etc.
  • Languages Spoken: With proficiency levels (Native, Fluent, Intermediate, Basic)
  • Previous Experience: Internships, projects, volunteer work (timeline view)
  • Certifications: Relevant professional certifications

Section 4: Skill Match Breakdown

Detailed comparison between job requirements and candidate qualifications:

  • Skills Matched: Requirements the candidate meets

Review Actions

After reviewing a candidate profile, you can take one of the following actions:

Move to Shortlist

Mark this candidate for the next stage. They will appear in your "Shortlisted" filter.

Candidate is notified that their application is under active consideration (increases engagement).

Keep in Review

Leave the application in "Applied" status. Continue reviewing other candidates before deciding.

No notification sent to candidate. They see "Under Review" on their end.

Reject Application

Disqualify the candidate. Application moves to "Rejected" status.

Candidate receives a respectful rejection email. Optional: Include brief feedback to help them improve.

Add Notes (Private)

Write internal notes about the candidate. Helpful for team collaboration.

Notes are visible only to your organization. Candidate never sees them.

Application Status Management

Applications move through different statuses as you progress through your hiring workflow. Here's the complete status lifecycle:

Applied

Initial status. Candidate has submitted application. Appears in your "New Applications" queue for review.

Your Action: Review profile, CV, cover letter, and AI match score.

2
Shortlisted

Candidate passed initial screening. You've marked them as qualified and worthy of an interview.

Your Action: Schedule interview or continue reviewing other applications before deciding.

3
Interview Scheduled

Interview date/time confirmed. Both parties have agreed on schedule. Video call room is created.

Your Action: Prepare interview questions. Join video room at scheduled time.

4
Interviewed

Interview completed. Recording is available for review. Candidate awaiting your decision.

Your Action: Review interview notes. Decide to hire or reject.

5
Offer Sent / Hired

You've made an offer. Candidate has accepted. Internship is active.

Your Action: Send onboarding information. Validate start/end dates to earn Employer Points.

Rejected

Application declined. Candidate did not meet requirements or position filled by someone else.

Note: Can reject at any stage before making offer. Candidate receives respectful notification.

Scheduling & Conducting Interviews

InternGlobe's integrated video interview system eliminates the need for external tools like Zoom or Google Meet. Everything happens within the platform.

How to Schedule an Interview

  1. On the candidate's profile, click "Schedule Interview" button
  2. A calendar interface appears showing your availability
  3. Select 3-5 time slots when you're available (increases chances of match)
  4. Add optional interview instructions or topics to prepare
  5. Click "Send Interview Invitation"
  6. Candidate receives email with proposed times and can accept or request alternatives
  7. Once they accept, both parties receive confirmation and calendar invites
Google Calendar Integration
Enable Google Calendar sync in Settings to automatically block interview times in your personal calendar. Prevents double-booking and syncs availability.

Conducting the Video Interview

Before the Interview

  • • You'll receive reminder emails at 24h, 1h, and 10 minutes before
  • • Review the candidate's CV and notes one more time
  • • Prepare 5-7 questions aligned with job requirements
  • • Test your camera/microphone in Settings → Video Settings
  • • Ensure stable internet connection

Joining the Interview

  • • "Join Video Room" button becomes active 10 minutes before start
  • • Click button to enter the video call interface (Jitsi Meet)
  • • No downloads required - works in browser
  • • Candidate will be waiting in virtual lobby
  • • Admit them when ready to begin

Interview Features

  • Screen Sharing: Share your screen to present company info or ask candidates to demonstrate work
  • Recording: Automatically records interview (with consent) for later review
  • In-Call Notes: Take notes during interview without leaving the video call
  • Multi-Interviewer Support: Invite colleagues to join the interview room
  • Background Blur: Professional appearance even from home office
  • Chat Function: Send links or text during the interview

After the Interview

  1. Interview recording is automatically saved and attached to candidate profile
  2. Add post-interview evaluation notes while fresh in memory
  3. Rate candidate on predefined criteria (communication, technical skills, culture fit)
  4. Decide: Move to Offer or Reject
  5. If undecided, schedule second round interview
Interview Recording Consent
InternGlobe automatically requests recording consent at the start of each interview. Both parties must agree for recording to begin. This ensures legal compliance in all jurisdictions.

Making Job Offers

Found the perfect intern? Time to make it official with a job offer through the platform.

How to Send an Offer

  1. Navigate to the candidate's profile
  2. Click "Make Offer" button (only visible after interview or for exceptional candidates)
  3. A form appears requesting internship details:

Application Management Best Practices

Review Within 48 Hours

Top candidates apply to multiple positions. Review applications quickly to avoid losing talent to competitors. Aim to move strong candidates to shortlist within 2 days.

Use AI Match Scores Wisely

Start with candidates scored 75%+. However, don't automatically reject lower scores - review their cover letter to understand unique value propositions.

Provide Rejection Feedback

When rejecting, add 1-2 sentences of constructive feedback. Builds goodwill, helps students improve, and enhances your employer brand on the platform.

Schedule Interviews Promptly

After shortlisting, send interview invitations within 3 days. Delays signal disorganization and may cause candidates to lose interest or accept other offers.

Prepare for Interviews

Review candidate materials 10 minutes before interview. Have structured questions ready. This shows professionalism and respect for the candidate's time.

Validate All Milestones

Don't forget to validate internship start, mid-term, and completion. This earns you points AND helps universities track student success rates.

Communicate Clearly

Set clear expectations in job descriptions and offer letters. Transparency about compensation, work mode, and responsibilities reduces offer declines.

Track Hiring Metrics

Use the Analytics dashboard to monitor time-to-hire, application-to-interview ratio, and offer acceptance rates. Optimize your process based on data.
